This is the chance to gain experience in the world of both patents and trade marks.One of the leading UK IP firms is offering the chance for a confident legal support person to make their start within their Cardiff office, an IP law firm that values talent and fast internal progression. You will be working to provide comprehensive secretarial and paralegal support to the Cardiff team. Excellent communication skills and an ability to identify and deal with key issues as they arise is a must.Previous IP experience isn't essential but would be very advantageous, as would previous employment as a paralegal. Person Specification:* GCSEs (or equivalent) in English and Mathematics grades A-C. Relevant practical experience of the patents and/or trade mark system would be very desirable.* An understanding of the Patent process and systems would be an advantage. * A number of years' experience in a Secretarial/Paralegal role including working with an international client base, small and large industrial clients and direct agency work. * Fast and accurate typing speeds (c60 wpm). * Audio typing and use of Big Hand digital dictation equipment. * Excellent knowledge of Microsoft office suite. * Good understanding of incoming and outgoing validations. * Thorough working knowledge of Inprotech (case management system) desirable. Responsibilities:- Producing documents including creating, revising and editing letters, emails, reports and patent specifications. - Audio and copy typing.- Preparing and completing official patent, trade mark and design forms. - On-line and paper filing of PCT, EPO and UK patent forms/applications - Dealing with incoming and outgoing validations. - Preparing documents for mailing, scanning and faxing. - Preparing monthly invoices using a TRS system or similar and liaising with Accounts regarding all billing matters.- Reviewing incoming correspondence and retrieving the related files.- Drafting responses and handling routine correspondence.- Monitoring official letters for legal deadlines and taking responsibility for entering the dates on a diary system.- Managing files and client contacts. - Proofreading documents, correspondence and memoranda to ensure accuracy and quality control of grammar, spelling and punctuation. - Answering telephone calls, transferring to the responsible Partner or attorney and taking telephone messages in a courteous manner ensuring the highest quality of client service at all times. - Monitoring/maintaining diaries and record systems. - Preparing files and paperwork for meetings and obtaining any other relevant information prior to those meetings. - Distributing internal post and faxes. - Ensuring meeting timetables are up-to-date and issued accordingly.- Ensuring adherence to the firm's risk management and compliance procedures. -Supporting other office administration staff and fee earners as required.
